Notes on submitting documents

  • Submit by e-mail

    Applications / objections can be submitted by e-mail, unless this is explicitly excluded. Please note the following requirements:

    • Please check the completeness of the application / objection to avoid delays in processing.
    • registered students must use the e-mail address (ZIV account) provided by WWU.
    • Handwritten signature:
      • The application / objection must be signed in person (stored signatures are not handwritten signatures).
      • The application / objection must be attached in PDF or JPEG format (no WORD document).
      • Please make sure that scanned or photographed documents are easy to read.
    • Compliance with the deadline:
      • Deadline for filing is met if the application / objection was sent within the deadline (date of sending) and this is to be tracked in the metadata of the e-mail.
      • technical reception problems are to the detriment of WWU
      • technical problems during dispatch are at the expense of the applicant
  • Submit by mail

    Applications may also be submitted by post. Please note the following requirements:

    • Please check the completeness of the application / objection to avoid delays in processing.
    • In order to request the sending of documents containing personal data, in particular certificate documents, you must submit a copy of your photo ID. We will not send any documents without this copy. The copies will be destroyed after the processing of the request.
    • The application/opposition must be signed in person.
    • Compliance with the deadline:
      • The time limit shall be respected by the postmark. We recommend sending applications by registered mail. The receipt must be kept as proof of compliance with the deadline.
  • Submission in person during office hours

    Applications / objections can of course also be submitted personally to the Examination Office during our office hours:

    • The completeness can be checked directly by an employee.
    • Depending on your request, you must be able to identify yourself during the consultation hour.
    • The application / objection must be signed in person. The check is carried out directly by the employee.
    • Compliance with the time limit: The time limit will be respected if the application is submitted in person within the current time limit. Applications will also be accepted if the deadline is not met.

 

Please understand that no documents can be accepted personally by the staff outside office hours.

The prescribed processing times begin when the application / objection is complete and signed in person. As a rule, you can expect up to 4 weeks processing time.

The use of alternative means of submission shall be at the expense of the applicant.
